About the Team

The Enterprise Transformation (EX) team is the current SAP Partner of the Year for Singapore and also SAP's Regional Strategic Partner. The EX team is continuously looking to build its capabilities and competencies in line with SAP's regional strategy and in working with our clients both old and new on their transformation journey.

Responsibilities:

  • Work closely with BU leader, Service Delivery Managers (SDM) and all Project Managers within the business unit.
  • Perform administrative support to coordinate with technical team(s), typically under the direction of the BU leader / SDM/ PM / Team Leaders.
  • Facilitate SAP project and AMS accounts: scheduling meeting and locations, taking meeting minutes, developing presentations, arranging training for project staff and etc.
  • Monitor overall AMS ticket issue and Change Request status and assign ticket to respective consultant promptly when received new ticket raised by client.
  • Prepare external Service/Utilization Reports for SDM to review and client submission in weekly/monthly basis.
  • Prepare the Fortnightly Management Report and share with BU Lead/Manager in bi-weekly basis.
  • Maintain Master Contract Tracker, monitor and track all the AMS contract expiry and initiate SDM to work with Sales Account Manager/Client for contract renewal. Initiate and follow through invoicing process up to receipt of payment.
  • Primary point of contact of AMS Ticketing Tool, provide administrative support such as account set up, updating user guide and provide system training to new customer and new onboard internal team member.
  • Track and maintain record of projects, assignees, contracts, sub-contracts, statuses, invoicing, renewals, extensions, and the like.
  • Create and maintain comprehensive project documentation, plans and reports.
  • Use tools to monitor working hours, plans and expenditures
  • Assist in resource planning and utilization monitoring, tracking and analysis.
  • Issue all appropriate legal paperwork (e.g., contracts and terms of agreement)
  • Drive software licensing procurement from RFQ, purchase, receipt, issue and record.
  • Track expiry and drive renewal of software licenses resold, notifying, and securing renewal confirmation and procurement thereof.
  • Provide administrative and coordination support and such other duties as directed.

Requirements:

  • Must have 4-7 years of administrative experience with at least 4 years of IT related project administration including reporting in MS excel working experience and PowerPoint working experience.
  • Supported multiple IT project activities like for e.g., reports, contract, ticket issue, project billing, project activities and deliverable tracking and etc.
  • Systematic and organized with strong sense of responsibility and urgency.
  • Able to prepare and interpret flowcharts, schedules and step-by-step action plans.
  • Knowledgeable and experienced in Microsoft Office applications, especially in MS Excel, pivot tables, analyses, v-lookup, MS Project, MS PowerPoint, etc.
  • Experience and comfortable with contracts, finance and accounting related activities.
  • Able to assign tasks with delegated authority and assist with schedule management.
  • Familiarity with risk management and quality assurance control.
  • Able to act as single point of contact of information and coordination.
  • Confident to work with the Director and Managers to remove blockers.
  • Create logical and meaningful repository and filing system for maintaining project documentation, plans and reports and the like.
