Job Description

General Description: This role is responsible for assisting the full spectrum of administrative functions.

Scope & Responsibilities:

- Report to the Administrative Manager during office hours from Monday to Friday, 8:00 AM to 5:30 PM.

- Assist the Administrative Department with all administrative duties.

- Serve drinks, attend to inquiries from directors, visitors, and guests, and manage incoming calls professionally.

- Maintain a clean and tidy reception area and greet visitors, directing them appropriately.

- Oversee office upkeep and supervise cleaning staff.

- Manage meeting room bookings and ensure they are prepared for use.

- Ensure smooth operation of office equipment and monitor contract expirations.

- Handle document scanning, printing, photocopying, faxing, and filing.

- Maintain records of incoming and outgoing mail and courier services.

- Source cost-effective vendors as needed and arrange travel and VISA applications for staff.

- Coordinate with external vendors to maintain office facilities.

- Order and deliver corporate and seasonal gifts as needed.

- Keep track of office and pantry supplies inventory.

- Assist in planning staff welfare activities and perform other assigned duties.

- Carry out other duties and responsibilities assigned by the Company from time to time.

Requirements:

- Minimum of 1-year relevant experience

- At least a GCE O Level equivalent or higher qualification

- Entry-level applicants are welcome to apply

- May need to make travel arrangements after office hours due to global time zone differences when required

- May need to liaise with outside vendors after office hours when required

- A problem-solving mindset, able to multitask and Proficient in Microsoft Office

- Independent, fast learner, and meticulous team player with good communication skills

- Good telephone etiquette and customer service orientation

- Keen to learn and possess a positive attitude

- Pleasant and good interpersonal skills.
