The Sales Admin will serve as the administrative support to the Sales Team. This role requires an experienced and well-organized Sales Coordinator to provide necessary assistance to the field sales team in a fast-paced environment. The successful candidate will become the point of reference for colleagues and customers alike by maintaining schedules, providing feedback, and managing documentation and information. The goal is to facilitate the team's activities to maximize their performance and contribute to the solid and long-lasting development of the company.
Responsibilities
Coordinate the sales team by managing the filing of important documents, maintaining critical data such as storing and sorting sales-related data in electronic form, and communicating relevant information for smooth sales operations.
Respond to the sales team's requests during the tender bid process (from pre-qualification to bidding and post-award phases), including submitting documents, drawings, and compliance certifications to ensure successful bid submission.
Prepare ERP system-derived cost sheets for management approval prior to quotations.
Prepare and present pipeline tracking reports, sales reports, and all related functional reports for the business unit.
Handle the processing of all sales orders and schedule job codes on the ERP system with accuracy and timeliness.
Monitor the team's progress, identify shortcomings in the administration process, and propose improvements where necessary.
Work with the marketing agency to organize marketing events and projects.
