The Senior Events Executive works with and across the NTU community and domain owners to create, plan, and deliver unique event concepts, and offering a distinctive experiential experience for the participants.
Working closely with the various stakeholders, the Senior Events Executive will coordinate and support all aspects of event management as needed. The candidate will also assist the team in developing and executing physical, hybrid or virtual events, including conferences, exhibitions, and graduations.
The candidate is expected to be an active participant and provide inputs to create work that matches NTU's stature as one of the top universities in the world.
Responsibilities
Manage end-to-end event processes, including ideation, budgeting, planning, marketing, registration, and operations for conferences, workshops, and other events across physical, virtual, and hybrid formats.
Plan event logistics, anticipate potential challenges, and ensure smooth execution.
Set up and manage event projects using NTU's EventsAir platform.
Prepare event prompts, run sheets, admin and briefing notes for senior leadership, crew and participants.
Participate in project management meetings and ensure timely updates to stakeholders
Coordinate and effectively manage onsite production crew, suppliers, and temporary staff.
Develop and monitor project timelines and milestones for timely delivery.
Administer the Events Office webpage (Sitefinity) and track the University's events calendar.
Provide secretariat duties including prepare agendas, minutes and handling meeting logistics.
Perform other administrative tasks as required.
Requirements
Degree in Events & Hospitality Management or related field.
At least 3 years of relevant working experiences in events management, ideally within the academic sector. Suitable candidate with more years of relevant and demonstrable experience with be placed on higher appointment grade.
Proficiency in video production, HTML 5, CSS, Sitefinity.
Experience in developing and executing virtual and/or hybrid events.
Good interpersonal, communication and writing skills.
Attention to detail with high-level of accuracy and demonstrated ability to exercise sound work ethics and discretion.
Proven ability to manage multiple projects, timelines, budgets and deliverables effectively.
Good attitude with ability to work independently while being a responsible and creative team player who is resourceful and resilient.
