We are seeking a highly experienced SeniorExecutive Assistant to provide high level administrative support to senior executives to ensure optimal executive productivity. The role will include managing of complex schedules, coordination of key communications, handling of sensitive information, and acting as a key liaison within and outside the organisation.
This position demands a high level of discretion, organisation, and the ability to anticipate the needs of the board, ensuring smooth communication, meeting coordination, and handling of confidential information.
Job Responsibilities
Board-Level Support
- Act as a primary point of contact for board members and senior leadership
- Coordinate and manage board meetings, preparing agendas, minutes, and follow-ups
- Assist in preparing presentations, reports, and other documents for board meetings
- Maintain confidentiality of sensitive information and ensure secure handling of all board-related communications
Executive Administrative Support
- Provide high-level executive support to senior leadership, including diary management, email correspondence, and scheduling
- Manage and prioritise complex calendars, ensuring seamless coordination of meetings, events, and deadlines
- Serve as a gatekeeper for board members, handling incoming requests, prioritising demands, and ensuring their time is spent effectively on high-priority issues
- Organise and manage complex domestic and international travel arrangements, including flights, accommodations, visas, and itineraries
- Ensure board members are well-prepared for travel by organising all meeting materials, briefings, and logistical support ahead of their trips
- Draft, review, and manage high-level communications (emails, memos, reports), ensuring consistency and professionalism in all interactions
- Act as the key liaison between board members and internal teams or external parties, including government officials, regulators, and key financial institutions
Stakeholder Management
- Build and maintain strong working relationships with internal and external stakeholders, including government agencies, financial institutions, regulators, and key industry partners
- Manage board members relationships with key external contacts, ensuring efficient follow-up on discussions, commitments, and initiatives
Project Management
- Planning and execution of special projects, events and initiatives and monitoring timelines and deliverables for these.
Personal Assistance
- Provide personal support, including managing personal appointments and errands.
- Assist with personal travel, family arrangements, and other private commitments
Ad Hoc Support:
- Conduct research where necessary and be proactive in resolving challenges
- Provide flexible and reliable support outside of standard office hours when necessary, especially during critical periods, such as board meetings, industry events, or major corporate activities
- Assist other senior leaders in the organisation on an as-needed basis, ensuring alignment with board-level priorities
Our Ideal Candidate:
- A minimum of 10 years of experience in a Senior Executive Assistant or Personal Assistant role, preferably supporting C-level executives or board members
- Experience in the banking industry or government sector is highly desirable
- Strong organisational and multi-tasking skills, with a keen attention to detail
- Proven ability to handle sensitive and confidential information with discretion
- Excellent written and verbal communication skills
- Ability to work independently, anticipate needs, and prioritise in a fast-paced environment
- Demonstrated ability to build relationships and work effectively with internal and external stakeholders
- Flexibility to work outside standard office hours as required to support board members needs
- A team player and collaborator who is able to manage multiple stakeholders, and work in a cross-functional team
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools
