To provide support SAP and Simplicity: raise RFQ, issue POs, invoices, billing, utilities and closure within Simplicity system
Monitoring of license, GRN (M&E), vendor setup, sprinkler drainage & other operations matters
Prepare internal bill-backs and documents for events, temporary water/power supply billing, air-con extension/chilled water charges.
Car park season parking & renewal processes
Coordinate utilities account set-up: termination/opening of new accounts
Manage Work Order system, including receiving work request, assigning work orders, entering system data, and providing the overall system administration.
Provide administrative support Tenant contacts list, Congratulatory flowers, Circulars, Tenants Insurance & M&E services reports compilation, etc
Set up, maintain, and organize department's central files, information, filing, documentation and SOPs
Independently maintain and update administrative policies and processes
Tenant liaison for enquiries / feedback from tenants during office hrs
Administrative duties as assigned
Min Diploma in Business Administration or Facilities Management or related fields
Min 2 - 3 years experience in administrative / operational duties
Must be proficient in English and Mandarin (required to liaise with Mandarin-speaking clients and suppliers)
Strong knowledge in MS Office (Word and Excel)
Knowledge of retail mall operations procedures and processes preferred
Attention to detail, initiative with positive attitude team player
Experienced in Anacle / SAP systems preferred
