Manager, Coordination & Strategy

Key Responsibilities:

1. Stakeholder Coordination and Communication:

  • Reports directly to and acts under the supervision of the TGCH Project Lead.
  • Schedule and manage meetings with internal and external stakeholders, ensuring seamless collaboration and progress.
  • Serve as the main point of contact for stakeholder interactions with TGCH Project Lead and to enhance the Lead's ability to discharge his duties/responsibilities.

2. Project Implementation and Feedback:

  • Execute TGCH Project Lead's plans, monitor progress, and gather feedback to inform ongoing adjustments to plans.
  • Develop project scopes, timelines, budgets, risk plans, and resource requirements under the Project Lead's direction.

3. Process Facilitation and Documentation:

  • Assist in managing essential processes such as claims, budget checks, and data verification under the purview of the Project Lead
  • Draft contracts, agreements, and other documents, ensuring alignment with organizational goals.

4. Support for Presentations and Meetings:

  • Prepare materials for presentations and meetings, including slides, speeches, and media profiles for the Project Lead.
  • Attend meetings with the Project Lead, documenting action items and planning follow-up tasks.

5. Strategic Planning and Special Projects:

  • Assist the Project Lead to develop strategies for ad-hoc and special projects during TGCH's planning phase.
  • Assist the project lead in leadership roles within NUHS, including the Healthcare Workforce of the Future initiative.

6. Project Monitoring and Reporting:

  • Track project milestones, manage issues and risks, and provide regular updates to stakeholders.

7. Administrative and Secretariat Support:

  • Serve as the secretariat for the TGCH Project Lead's office, handling administrative tasks, coordinating meetings, and recording accurate notes/minutes.

8. Coordination of Project Lead's Responsibilities:

  • Manage urgent and last-minute changes to scheduling: Handle last-minute changes to the Project Lead's schedule, prioritizing commitments based on urgency and importance.
  • Prioritize the Project Lead's commitments: Ensure that the Project Lead's time and focus are allocated to the most critical tasks, managing their schedule to maximize effectiveness.

9. Development of strategies to uplift culture and staff welfare for Tengah Generaland Community Hospital

  • Assist the Project Lead in developing strategies to uplift culture and staff welfare:
  • Collaborate closely with the Project Lead to design and implement strategies aimed at enhancing workplace culture and improving staff welfare. This includes identifying areas for improvement, setting clear objectives, and creating actionable plans that foster a positive and inclusive work environment.
  • Lead teams in initiatives to promote staff wellbeing and team bonding: Take the lead in organizing and managing teams for various initiatives focused on staff wellbeing and team bonding. This involves coordinating efforts across departments, ensuring that activities are aligned with the overarching goals, and monitoring the effectiveness of these initiatives to continuously improve staff morale and cohesion.
  • Represent the Project Lead's ideals and directions: Act as a key ambassador for the Project Lead's vision, values, and strategic objectives. Ensure that these principles are consistently communicated and integrated into the team's culture, operations, and practices. This responsibility includes addressing any cultural or operational issues that may arise, aligning team efforts with the Project Lead's expectations, and maintaining a unified direction.
  • Support the Project Lead in developing communications materials: Assist the Project
  • Lead in creating communication materials for media, internal, and public dissemination.
  • Ensure that all messaging is consistent with NUHS standards and effectively conveys the Project Lead's objectives and the department's achievements. This includes drafting, reviewing, and refining content to accurately represent the team's efforts and successes.
  • Monitor and report on the impact of culture and welfare initiatives: Regularly assess the impact of the implemented strategies on staff welfare and workplace culture. Provide detailed reports to the Project Lead, offering insights and recommendations for further improvements based on feedback and observed outcomes.

This role ensures the effective coordination and execution of strategic initiatives crucial to the newhospital's development while supporting broader NUHS objectives.

Requirements:

  • Bachelor in any discipline with at least 8-10 years working experience, preferably in an environment that requires active stakeholder engagement.
  • Good technical skills including a sound working knowledge of Microsoft Office, Microsoft Teams, Zoom and Adobe Acrobat.
  • Tech-savvy with an ability to learn new software and other relevant programs.
  • Good command of spoken and written English language.
  • Possess strong analytical, communication, written and presentation skills.
  • Excellent communication and influencing skill.
  • Ability to work independently and in a team and across teams with minimal supervision.
  • Attention to detail, ability to prioritize workload, well organized and multi-task in an effective and timely fashion.
  • Able to work in a fast paced and dynamic work environment, quick thinker and an effective problem solver.
  • Responsible, proactive attitude and determination to ensure required outcomes are achieved.
