Job Summary
The Executive Assistant will manage a wide range of advanced administrative and executive support related tasks, will be able to work independently within established guidelines and will make independent decisions in regards to planning, organizing and scheduling work. The ability to interact with executives (at all levels, including the Board of Directors) in a fast paced environment, while remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.
Essential Functions
- Provides advanced level support to General Manager.
- Utilizes advanced computer skills to prepare complex correspondence, reports, presentations, charts, tables and forms.
- Uses discretion and judgment when screening visitors and telephone calls, scheduling appointments and organizing work load to meet established priorities.
- Organizes workload to comply with deadlines and priorities and works independently to complete routine correspondence, reports and forms for review.
- Takes initiative on requests and inquiries of administrative nature.
- Heavy calendar management, requiring interaction with both internal and external executives and assistants to coordinate a variety of complex executive meetings for the management team.
- Manages commitments to maximize manager's time and efficiency.
- Makes travel arrangements both domestically and internationally.
- Utilizes the Ariba system to manage expenses.
- Support supply chain team on specific workflows
- Special projects as needed.
