What You'll Do
- Assist Engineer (GTP) in creation of work order, daily records with quantity of works done and verification of payment claims.
- Assist in preparing and procurement of contracts, reports, and any other works necessary.
- Prepare and submit Daily Activities List
- Download data from systems, sharepoint, generate reports and upload data into system, sharepoint to support the functions of the Section.
- Collate development plans for staff and to track staff attendance in section's training matrix.
- Prepare and submit online forms for applications required to get clearance for staff.
- Keep proper system records of Low Value Asset items issued to staff and track replacement cycles, e.g. PPE, laptops, headset, gas detectors, etc
- Manage internal and external stakeholders emails and enquiries, forward to staff for their follow-up and monitor replies
- Collate and sending of reports /statistics / replies to internal stakeholders.
- Assist in yearly review of OPEX for the section.
- Monitor of monthly OPEX expenditure and updating of records.
- Manage welfare funds for staff, submit claims for monthly transport, bi-yearly maintenance of gas detectors, petty cash, etc.
- Arrange for meetings, collate and prepare slides for meetings.
- Secretary role for weekly section meetings.
- Create work orders / purchase orders, manage invoices, payments, accruals, write-offs, transfer of charges for all works including LTA prompts, pipe purchase, pipe withdrawal, consultancy and contractor works.
What You'll Need
- Diploma in any Engineering disciplines from recognised Polytechnics in Singapore.
- Familiar with government related administrative processes and procedures.
- Has some experience in supervising mechanical (i.e piping, welding) and civil (i.e trenching, tunnelling) related works.
- Demonstrate a positive and strong safety culture in mind.
