Key Responsibilities:
1. Front Desk Management: Greet and welcome guests as soon as they arrive at the bank, ensuring a positive first impression. Direct visitors to the appropriate person and office.
2. Communication Handling: Answer, screen, and forward incoming phone calls while providing basic information when needed. Manage general bank email and distribute correspondence.
3. Appointment Coordination: Schedule appointments, manage calendars, and update schedules for bank executives and staff.
4. Documentation: Prepare and organize documents such as memos, letters, reports, and other administrative records. Maintain and update files and databases to ensure all documents are accurate and readily available for the team.
5. Customer Assistance: Provide assistance to customers with general banking queries, directing them to the appropriate department for specific inquiries or transactions.
6. Administrative Support: Assist in the preparation of regularly scheduled reports. Support team by performing tasks related to organization and strong communication.
7. Facilities Management: Ensure that the reception area and all meeting rooms are tidy and presentable. Manage inventory of office supplies and place orders when necessary.
8. Security Compliance: Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
